Not sure where to go? Having problems coordinating different committees? Want to make sure that we are all working together on the same page? So do we! Coordinating directs complaints and proposals, checks on committee minutes, works to make bulletins of committee information, and make sure information is distributed to the people. There’s a lot to do, and we’re only for the serious!
COORDINATING MINUTES 12/19/11
Coordinating Minutes 12/19/11
Attending: Lillie, Rrobert, Nadine. Ron sends in report. Candi and Leila sitting in.
**Meeting starting @ 5:15 due to several members running late**
Robert: First, quickly, we need to get signatures for printer ink that was purchased for the laserjet and I would like to request funds for weekly MARTA passes for those who need them.
Lillie: OK that’s fine.
Robert: Does anyone else besides me need one?
Nadine: I don’t but that’s fine.
Lillie: I don’t either.
Robert: OK.
Nadine: So, we need to come up with some ideas for the Bottom-Liner Meeting. I think it’d be a good idea to set an agenda before reportbacks.
Lillie: I think that’s a great idea.
Nadine: And Julianna asked if others should moderate and offered to help out.
Robert: I’m fine with that, but I think we should nail down the process first, so those who moderate aren’t coming in wondering how and what to keep things on topic. Others should know our process before they attempt to moderate. Also, perhaps we should get with Process and see if they have any ideas?
Lillie: We need to decide what hand signals we’ll use, so people don’t use P.o.I. as D.R., etc.
Nadine: OK. And I’ve gotten some conflicting feedback of people saying that the process now is too strict, which is causing problems and taking up more time.
Lillie: I don’t think that’s really the issue; I think if we are more efficient, it’d be better.
Robert: I agree, I think we should nail ideas down before the meeting.
Lillie: Yeah, like i said, committees need to come in with ideas of what they want to discuss.
Robert: Right now everyone seems so disinterested. It’s report backs and then they’re just like “why am I here?” Cause they’re not invested. they don’t have an idea of what to work on because they haven’t thought about it before the meeting.
Nadine: OK so maybe we could at the beginning of the meeting discuss the topics on the agenda? Maybe for like 15 minutes? Also, we need to add Tim to the BL list.
Lillie: And could you change mine from my student account?
Robert: Yeah, I’ll do that. So, we’re supposed to have our next meeting on Thursday afternoon, probably in place of our regular Coordinating meeting.
Lillie: OK. On Wednesday there’s a dicsussion from 4 -6 PM at Manuel’s about occupying the Rialto Lobby.
Robert; So maybe we can meet during that meeting to nail down the Bottom Liner agenda for Thursday, make sure everyone knows about it ahead of time.
Nadine: OK.
Robert: So I’ll work on writing up a process and work on ideas for Thursday’s agenda and we can work on it Wednesday. As it stands, we want to 1) get committees to put agenda ideas in ahead of time so we can figure out what people want, 2) set topics at the actual start of the meeting so people know what we’re focusing on and don’t get upset. Also possibly dicussing the topics for 15 minutes at the beginning of the meeting so we’re all on the same page. 3) Then reportbacks, open forum, other business, etc.
Nadine: Sounds good.
Lillie: Ok, can we wrap this up and start the Outreach meeting?
Robert: Yeah that’s fine. Here’s the Finance form to sign.
Nadine: Ok.
Robert: Alright, I’ll see you guys on Wednesday.
